That’s where email aliases come in.

An alias is simply an alternate email address that points to the same inbox. It makes your business look more polished and organized, while keeping everything easy to manage. Here’s how to set one up in Google Admin.


What is an Email Alias?

Think of an alias like a nickname for your email. Instead of creating a brand-new account, you add an extra address that delivers to your existing inbox.

For example:

  • Main account: john@yourdomain.com
  • Alias: info@yourdomain.com

Now, emails sent to either address land in the same inbox. You can even reply from the alias so your messages look like they came from hello@yourdomain.com.


Step 1: Sign in to Google Admin

Start at admin.google.com and sign in using your administrator account (the one with admin rights). You can’t add aliases from a regular Gmail account.


Step 2: Open the User Profile

  1. From the Admin console Home, go to Users.
  2. Find the user you want to add an alias for.
  3. Click their name to open the account details.

This brings you to the user’s profile page, where you can manage their account settings.


Step 3: Add the Alias

  1. Scroll down until you see Alternate email addresses (email alias).
  2. Click Add Alternate Email.
  3. Enter the alias you want (example: hello@yourdomain.com).
  4. If you manage multiple domains, choose the right one from the dropdown.
  5. Click Save.

Step 4: Verify and Test

Aliases usually start working right away. Send yourself a quick test email to confirm it delivers to the correct inbox.

To reply from the alias inside Gmail:

  1. Go to Gmail.
  2. Click the gear iconSee all settings.
  3. Open the Accounts and Import tab.
  4. Under Send mail as, add the new alias.

This way, when someone emails sales@yourdomain.com, you can reply back from sales@yourdomain.com — not your personal account.


When to Use an Alias vs. a Group

  • Aliases → Best when one person should receive the emails (example: billing@ that goes straight to your bookkeeper’s inbox).
  • Groups → Better when multiple people need to access the same address (example: support@ that should go to your whole customer service team).
